Privacy Matters to Us
If you express interest in a study with us through a form submission, phone call or email or participate and agree to remain in our participant database for future studies:

 

  • We will always ask you to accept a consent statement (either online or verbally) to ensure that you are aware that your information is being collected, stored and for what purpose.
     

  • We will never make your personal information available to any third party without your knowledge (additional details below), except in very rare instances.
     

  • We will never try to sell anything to you - we will only contact you regarding future research opportunities we think you may qualify for or be interested in.
     

  • Your responses to questions, surveys or interviews will be kept confidential or removed from our records if there is not a valid reason for keeping it.

Types of Data & How We Use Your Information


When you submit information expressing interest in an ongoing or future study through an online form, email or phone call, we collect the following personal identifying information: 

  • first name

  • last name 

  • email address

  • phone number 

  • mailing address.

  • we may also collect information related to a diagnosis or treatment course

 

We use your name and email address to let you know about opportunities to take surveys and to provide new updates about opportunities that may be of interest to you. Generally, you are notified about an opportunity to take a survey several times per year. We use mailing addresses to mail honorarium payments to members who have completed surveys or interviews. We may also use your address/zip code to invite you to research opportunities in your area.  We use phone numbers to return calls to answer a question or address any concerns. If you have consented to text messaging, we may use it for that type of communication. On rare occasions, we may call to validate information or answers to survey questions. If a member has agreed to participate in a telephone interview, we use the phone number provided for the call. We always tell you in advance if we will be sharing your information. We may also send brief emails several times a year to provide information of interest and to express our appreciation for their participation or to confirm you would like to remain in our participant database, also known as our Pinpoint Community.

 

Sharing Information

There are limited instances where Pinpoint shares your contact information in order to process payments and collect signatures for consent. We only share what is absolutely necessary and we vet vendors before incorporating them in our processes.

Bill.com: We use Bill.com to process paper checks that are mailed to individuals who complete research activities.   At this time, that information would include first name, last name and mailing address.

Adobe Sign: We use Adobe Sign for securely sending consent forms or other documents for compliant participation in some research. We would only share your first name, last name and email address. Signed documents will only be kept as long as necessary for compliance in research and then they are deleted.

If additional third-party services/vendors are used to complete specific study activities, you will be notified in writing of the vendor and what information will be shared with them prior to anything being shared. 

Additionally, we will not make any personal information of our database available to anyone outside of Pinpoint without your knowledge (as described in this policy), except in the rare instances required by law. If Pinpoint Patient Recruiting were to acquire or be acquired in part  or completely of its business, or in the event of a bankruptcy proceeding, it might convey its business assets, including our participant database. If a change of ownership occurs, a notice will be posted here, so please check this policy regularly.

 

How We Do Not Use Your Information
We do not and will not sell, rent, barter, lend or disseminate your personal information or contact information to any other person or company. We will not use your information to attempt to sell you anything or promote things other than what you have consented to receive.

Changing Your Personal Information 
If you provided personal information during to us through an online form, email or phone call, you may change this information at any time by sending an email to info@pinpointpatientrecruiting.com and or log in directly to your Pinpoint Patient Community Portal and update or remove information that is provided to us. Visit https://community.pinpointpatientrecruiting.com to access the portal.

 

Removing Your Information from Our Participant Database

Members of our database may choose to opt out of any study or ask to be removed from the database at any time. We fully respect that decision and will not try to encourage you otherwise.  Likewise, you are never under any obligation to participate in a survey or interview, even if you have already started or completed part of the survey. If you choose to opt out and stop receiving information from us about a survey and research opportunities, your personal information and any health data will be deleted from our records and you will no longer be contacted.  Email optout@pinpointpatientrecruiting.com​ to request your information be removed.

Safety and Security

Security is very important to us. We use several measures to protect the data that we store and regularly check the security measures of any 3rd party vendors we use. Our policy is to allow only authorized personnel to access any personal data when absolutely necessary. We limit access to information to only employees who require the information. All team members are trained on privacy policies and compliance.   In addition, we use secure, protected tools to store our participant database.  Please be aware, however, that no security measures are 100% guaranteed to protect against unauthorized access.
